Custom Dashboards: Create and Share

Learn how to create and share Custom Dashboards, manage sharing permissions, and keep dashboards up to date across your organisation.


What are Custom Dashboards?

Custom Dashboards allow you to build a personalised view of your most important reports, widgets and data in one place.

Once you've created a dashboard, you can share it with other people in your organisation so they can access the same view without needing to recreate it themselves.

You can share a dashboard with:

  • Individual employees

  • Teams

  • Positions

  • Position groups

  • Other available organisational groups

📝 Important to note: Sharing a dashboard does not give recipients access to additional data. Users will only see information they already have permission to access.


Create a Custom Dashboard

To create a custom dashboard:

  1. Navigate to Dashboards.

  2. Click Create New Dashboard.

  3. Enter a clear, descriptive name for your dashboard.

  4. Add the widgets, reports or data views you want to include.

  5. Arrange and resize the dashboard tiles to suit your preferred layout.

  6. Click Save.

Your custom dashboard is now ready to use or share with others.

💡 Note: Use descriptive names such as Q3 Sales Overview or Team Onboarding Tracker so other users can quickly understand the dashboard's purpose.


Share a Dashboard

To share a custom dashboard:

  1. Open the dashboard you want to share.

  2. Click Share.

  3. Select who you'd like to share it with. You can choose:

    • Individual employees

    • Teams

    • Positions

    • Position groups

    • Other available organisational groups

  4. Confirm your selection.

The dashboard will immediately appear for eligible recipients in their Dashboards list.

📝 Important to note: Shared dashboards are view-only for recipients. Only the dashboard owner can make changes.


How dashboard permissions work

Shared dashboards are designed to provide a consistent view across your organisation while preventing accidental changes.

Recipients can open and interact with the dashboard, but they cannot modify its layout, widgets or sharing settings.


Keep shared dashboards up to date

Any changes made by the dashboard owner are automatically reflected for everyone the dashboard has been shared with.

For example, if you:

  • add or remove widgets

  • update filters

  • rearrange the layout

  • rename the dashboard

Recipients will see the latest version the next time they open it.

💡 Note: Sharing dashboards with teams or position groups can make administration easier, as access automatically updates when group membership changes.


FAQs and troubleshooting

Why can't I edit a shared dashboard?

Only the dashboard owner can edit a shared dashboard. Recipients have view-only access to ensure everyone sees the same dashboard configuration.

I can't see a dashboard that was shared with me.

Check that you've been included in the appropriate sharing group and that you have permission to access the underlying data. If you still can't see the dashboard, contact the dashboard owner or your administrator.
