Job Ads - Review and Hire Applicants

Complete the hiring process by reviewing candidates, progressing applications, rejecting unsuccessful applicants, and welcoming new hires into your Workforce account.

This feature is available for users who have enabled Workforce HR.


Permissions

To complete the full Workforce Hire process, ensure you have the correct permissions enabled:

  1. Navigate to Settings > All Settings > Permissions > Show Advanced Settings > Customise access & roles

Required permissions

To view and progress applications:

  1. Navigate to Settings > All Settings > Permissions > Show Advanced Settings > Customise access & roles

  2. Select Role Type

  3. Hire > Candidates > Enable 'View' and 'Edit'

To view and progress applications:

  1. Navigate to Settings > All Settings > Permissions > Show Advanced Settings > Customise access & roles

  2. Select Role Type

  3. User Invites > Enable 'Create'


Access applications

You can view applications for all job ads on the Job Ads page under the Hire tab.

Applications for a specific job ad can be viewed by clicking the relevant job ad from the Overview page.


Email notifications

By default, organisation admins receive email notifications when new applications are submitted.

To opt out of these notifications:

  1. Go to My Notifications in your account

  2. Update your notification preferences accordingly


View application details

To view application details:

  1. Navigate to Hire > Job Ads > View Applications

  2. You’ll be taken to the applications page

On the left, you’ll see a filterable list of candidates. Selecting a candidate displays their details on the right.

Each application includes:

  • Applicant details

  • Current Stafe

  • Time in Stage

  • Date of Application

  • Resume and cover letter

  • Actions (to view more details)

PDF files are embedded directly on the page. .docx files must be downloaded.

Click the applicant’s name to view full details, including:

  • Screening question answers

  • Working rights

  • Additional messages from the applicant

For a more in-depth view of your candidates, navigate to the Candidate Details tab:

On the left of the page, you will see a filterable list of candidates. When you select a candidate, their details will appear on the right.

Each application will include the applicant's details, whether they've answered the screening questions and their resume and cover letter. If uploaded as a PDF, the applicant's resume and cover letter will be embedded on the page. If uploaded as a .docx file, these will need to be downloaded.

Navigate through the tabs on their profile to see all of their application information.


Schedule Interviews

Workforce Hire makes it easy to set interviewer availability and schedule interviews with shortlisted candidates.

To begin, navigate to Hire > Job Ads, select the relevant job, then progress the applicant to the Shortlisted stage.

Once shortlisted, interviews can be managed from the candidate profile.

Set up interviewer availability

To set up interviewer avilability

  1. Open the candidate profile by selecting them from the list

  2. Go to the Candidate Details tab

  3. Select the candidate, then click the Interview sub-tab

  4. Click Manage Interviewer Availability:

6. Select + Add Interviewer Availability:

7. Enter the appropriate details, then click Create to save your availability.

Important: Candidates cannot schedule interviews until interviewer availability has been added.

Allow a candidate to self-schedule an interview

Once availability has been created, candidates can book their own interview using the scheduling link in the Interview tab.

  1. Open the candidate profile

  2. Go to the Interview sub-tab

  3. Copy and send the scheduling link to the candidate

Add interviews to your personal calendar

You can subscribe to your interview schedule so interview bookings automatically appear in your calendar.

  1. Navigate to Hire > Job Ads

  2. Open the job ad dropdown menu and select Interviews

3. On the Interview Schedule page, click Subscribe next to the date selector

4. This will copy a subscription link to your clipboard. Paste this link into your personal calendar to subscribe. Once added, scheduled interviews will automatically sync to your calendar.

Note: Calendar syncing can take a few hours depending on your calendar provider.


Add notes

You can add internal notes to an application that are visible to other staff with the appropriate permissions. Applicants cannot see these notes.

To add a note to a candidates profile:

  1. Open the applicant’s full details (View Profile > View Application)

  2. Click Notes

  3. + Add a note


Update an application’s status

You can update an application’s status to track a candidate’s progress internally.

Candidates will not be notified of status changes unless:

  • Their application is rejected, or

  • They are hired and onboarded

To update an application status:

  1. Open the applicant’s full details

  2. Click the drop down menu icon


Progress an application

Applications can be moved through the following stages:

  • Shortlisted

  • Interviewed

  • Reference Check Required

  • Offered

  • Hired

  • Rejected

Once shortlsted, you can move applications between stages freely, including back to past stages.

Applications are grouped by status for easier tracking.

Important: Except for Rejected, changing an application’s status does not trigger any automated actions. These stages are for internal tracking only.

If a candidate is successful, ensure you use Hire & Onboard to initiate Workforce onboarding.


Reject an application

To reject an application:

  1. Click the X icon on the right-hand side of the application to Reject the candidate.

2. You’ll then be able to choose whether to send the rejection email:

  • Right Now

  • Tomorrow

  • Don't Send Email

3. You can also choose whether you’d like to keep the candidate on file for future roles.

4. Once you’ve selected your rejection settings, click Move to Rejected.

Note: Rejected applications remain visible in the list and can be moved back to the applicant pool if needed. The candidate will not be notified if this occurs.


Automated emails

You can configure automated emails to send when an application reaches specific stages.

Each stage has a customisable email template, allowing you to tailor messaging to your organisation’s tone.

To configure automated emails:

  1. Navigate to Hire > Settings > Email Notifications

You can:

  • Enable or disable emails per stage

  • Customise email content

  • Set a Reply To Email address for candidate responses

Once configured, click Update to apply your changes.


Hire & onboard staff

Workforce Hire integrates directly with Workforce onboarding.

If you do not use Workforce onboarding, you can still track hired candidates by updating their application status.

To onboard a successful applicant:

  1. Click Hire & Onboard

Enter employee details

Begin onboarding by completing the Employee Details section.

Some fields (such as name, email, and date of birth) are pre-filled based on information provided by the candidate.

If a Position was selected when creating the job ad, associated teams, contracts, documents, and qualifications will automatically populate.

Finalise contracts

If contracts are included, you’ll review them on the Finalise Contracts page. If not, you’ll proceed directly to the final step.

On this page, you can:

  • Enter the employee’s address

  • Set pay conditions

  • Review attached contracts

Fields linked to a Position may be pre-filled and can be edited if required.

Some details are used as Dynamic Fields within contracts. Once entered, click Apply to Contracts to update the documents, then select Review to continue.

Confirm and onboard

On the Confirm & Onboard tab, review all entered details.

Once confirmed, click Invite to Onboarding.

The new employee will receive an email invitation to complete onboarding in Workforce.
