This feature is available for users who have enabled Workforce HR.

Edit a Form Template

Where necessary, you can make changes to Form Template details, sections, and questions.

To edit Form Template, navigate to HR > Forms > Form Templates and select the Edit button:

To edit a page or section name, attached file, and description, click the on the title:

To edit a question, click on it:


Edit Form Workflow

You can edit a form workflow which will set if a form need to bed approved when submitted by specific positions.

To edit a form workflow:

  1. Navigate to HR > Forms > Form Templates > Edit on the form you wish to edit

  2. Select the Workflows tab

  3. Click Edit next to the workflow you wish to edit

  4. Edit Name, When submitted by, and/or Require approval by

  5. Select Update to save


Edit Form Settings

You can edit form settings which will configure:

  • Name

  • Category

  • Which employees can access the form

  • If the form should be available to include during onboarding

  • Description

  • Notifications

To edit form settings:

  1. Navigate to HR > Forms > Form Templates > Edit on the form you wish to edit

  2. Select the Settings tab

  3. Edit the following details to your Form:

    • Name - Staff will be able to see this when completing a form

    • Category - The reason for the form. Common examples are outlined here.

    • Active - Controls if users can access and complete this form. Uncheck if users should not have access yet.

    • Available to be assigned when onboarding an employee - Makes the form available to send during onboarding.

    • Can employees access this form? - Scopes the form to either All Employees or Custom. Selecting Custom will make the form accessible to specific users via position titles and/ or team.

      • “And” will require the user to be in the selected position AND the team whereas using.

      • “Or” will only require them to be in either the Position OR the Team.

    • Description - information about what the form (including when to submit)

    • Notifications - Specify the Positions which should receive a notification when the forms are submitted

  4. Select Update to save


Archive a Form Template

When a Form Template is made inactive, it will no longer appear for employees to complete on the mobile app. Past responses can still be accessed.

An inactive Form Template will also remain under the Manage Form Templates tab and can be reactivated at any time.

To make a Form Template inactive, click the ⋮ button on the relevant Form Template, then Settings. Next, untick the Active box and save the changes with the Update button.

To reactivate a Form Template, click the ⋮ button on the relevant Form Template, then Settings. Next, tick the Active box and save the changes with the Update button:


Delete a Form Template

When a Form Template is deleted, it will no longer appear for employees to complete on the mobile app and the deleted form templates cannot be reactivated. Responses can still be accessed for deleted form Templates.

To delete a form template, click the ⋮ button on the relevant form template, then Delete. Confirm on the pop up:
