Access the Contracts and Documents Hub

Find the Contracts and Documents Hub under the Workforce tab of your account.

You can also access Contracts and Documents specific to an employee by clicking the HR link on their profile and then selecting the Contracts and Docs tab.


Contract Templates

Contract Templates save you time getting new employees started or updating pay conditions for existing staff, such as regular hours of work or employment type.

Information from employee profiles is used to automatically populate fields of a contract to then be sent through Employee Onboarding or the Workforce.com mobile app.

The Contract Templates tab includes:

  • A list of existing contract templates

  • The template type (Onboarding Only, Employment Change Only, or Onboarding & Employment Change)

  • The number of contracts that are pending acceptance or have been signed

  • When the template was last updated

  • Which teams the template is assigned to

  • Buttons to view/edit, duplicate, access version history, view contract status, or delete the template

Note: Duplicate and Version History are not available for DOCX contract templates.

Use the New Contract Template button to create a new contract template. Learn more in the Create a Contract Template guide.


Documents

The Documents tab allows you to upload PDF files up to 15MB in size to then send to new staff or existing employees when necessary. These documents can then be acknowledged through Employee Onboarding or the Workforce.com mobile app.

Use the Documents feature for resources like uniform policies, role responsibilities, and other workplace resources.

The Documents tab includes:

  • A list of existing documents

  • When the documents were created

  • Buttons to view, send, edit, access version history, or delete the documents

Use the + New Document button to upload a new document.


Document Bundles

The Document Bundles tab on the same page includes:

  • A list of existing bundles

  • Which documents are included in the bundle

  • Buttons to delete, send, edit, or view the bundle

Use the + Create Document Bundle button to add a new document bundle. Learn more in the Documents and Document Bundles guide.


Sent Contracts

The Sent Contracts tab shows a list of contracts that have been sent either through Employee Onboarding or contract changes.

These contracts can be filtered by:

  • Specific contracts

  • Acceptance status

  • Specific employees

  • Default payroll teams

  • Locations of the default payroll team

  • Award tags

  • Permission roles

  • Active qualifications

  • Inactive employees only

Date ranges for when the contract was sent or actioned (signed or withdrawn) can also be applied. Learn more in the Send Contracts guide.


Sent Documents

The Sent Documents tab shows a list of documents that have been sent either through Employee Onboarding or when required both individually or in bundles.

This list can be filtered by:

  • Specific documents

  • Acceptance status

  • Specific employees

  • Default payroll teams

  • Locations of the default payroll team


Withdraw Contracts & Documents

If a contract or document has not yet been signed, it can be withdrawn. This will remove it from the employee's pending items in their app.

This is useful when a contract or document is no longer relevant due to negotiations, or if something was sent incorrectly.

There are several ways to withdraw:

1. From the Sent Contracts tab
Locate the contract and click the Withdraw button on the relevant row. This is only available for contracts that are still pending.

2. From the Sent Documents tab
Locate the document and click the Withdraw button on the relevant row. This is only available for documents that are still pending.

3. From the employee's HR profile
Navigate to the employee's profile, click the HR link, and open the Contracts tab. Pending contracts and documents can be withdrawn directly from here.

4. Automatically when updating pay conditions
When you edit an employee's current pay conditions, any pending unsigned contracts associated with those pay conditions will be automatically withdrawn. You will see a warning before saving to let you know this will happen.

Note: Signed contracts cannot be withdrawn. If a signed contract is associated with the pay conditions you are updating, you will be prompted to send a new contract instead.

What will the staff see?

If you choose to notify staff, they will receive an email listing the specific contracts and documents that have been withdrawn.

Admins and managers with access will still be able to view withdrawn contracts and documents within the Sent Contracts and Sent Documents pages.
