Handling Missed Shifts on Timesheets (No-Shows)

How you can handle no-call no-shows and other missed shifts in timesheet views


Did the staff member no-show?

When a staff member misses a rostered shift, what you need to do with their timesheet depends on what happened.

If a staff member didn't turn up for their shift, you have two options:

  • Take no action: If no worked times are recorded on the timesheet, the shift won't be exported to payroll. The missed shift will still be reflected in the staff member's attendance reporting.

  • Record a no-show: If you want to record why the staff member missed their shift and report on it later, you can mark the shift as a no-show.

Enable no-shows

Before you can record no-shows, you'll need to enable the feature.

  1. Navigate to Settings > All Settings > Timesheet Settings > No Shows

  2. Tick Enable no shows.

  3. Click Update Settings to save your changes.

Edit/ Add reasons for no-shows

You can configure the reasons staff members may be marked as a no-show. To do this:

  1. Navigate to Settings > All Settings > Timesheet Settings > No Shows

  2. Click Edit Reasons.

  3. From here, you can add, edit, or delete no-show reasons. These reasons will be available when recording a no-show from the timesheet or app.


Record No-shows

Record a no-show on desktop

After enabling no-shows, you'll see a new button in the timesheet letting you mark a shift as such:

Click this button and then choose one of the no-show reasons configured in timesheet settings:

The shift will appear as follows:

Remove the no-show by clicking the icon on the right of the shift again.

Record a no-show on app

To record no-show shifts in the app:

  1. Navigate to Timesheets > Approve Timesheets > No-shows

  2. Click + Record No-Show.

Scheduled shifts without an associated worked shift (and that aren't already marked as a no-show) will appear and can then be marked as a no-show:

Shifts marked as such will be listed under the No-shows tab, where you can also edit the Reason or cancel the no-show by clicking Undo.

Report on no-shows

You can use the Shift Report and the Attendance Report to see an employee's no-shows.

Use the Shift Report to see individual shifts and their reasons by adding the No show and No show reason columns:

Use the Attendance Report to see total no-shows for a certain period by adding the No Show Shifts column:

Note: No Show reporting columns are only available when the No Shows feature is enabled.


Did your staff forget to clock in?

When staff miss shifts, you'll see that the shift still appears on the timesheet, with red boxes indicating what was missed.

If your staff did work, you can type in the boxes to manually enter their actual start and finish times.
