Send a Survey

Learn how to send a survey to specific staff or make available to all staff at any time.

This feature is available for users who have enabled Workforce HR.

After you've created your survey, you can either schedule your survey to send or assign to send immediately.

Schedule a Survey to Send

To schedule a survey to send, toggle to the When to send tab at the top of the Edit Survey page and select + WHEN TO SEND.

You will see the following screen. Select how often the survey should be sent using the How often should this be sent? dropdown, choose which employees should receive it, and (where required) set the send date.

The available frequency options are:

  • Once off — sent once on a specific date.

  • Week(s) — repeats every N weeks from the send date.

  • Month(s) — repeats every N months from the send date.

  • Days after employee start date — sent automatically a set number of days after each employee's employment start date. Useful for onboarding check-ins.

  • Offboarding — sent automatically when an employee's employment end date is first recorded in the system. See below for details.

If desired, you can set a reminder notification to deploy before the survey is sent by ticking the 'Should notify before run on date?' box. Note: reminder notifications are not available for the Offboarding option.

Once you are satisfied with these selections, click CREATE. The survey will send automatically according to the schedule you configured.

Once configured, these selections can easily be edited or deleted using the appropriate buttons.

Offboarding surveys

Selecting Offboarding configures the survey to be automatically assigned to an employee the moment their employment end date is first recorded in their profile — it does not wait until the end date arrives.

When does it send? The survey is assigned as soon as an employment end date is saved for an employee who previously had no end date set. It will not re-trigger if the end date is subsequently edited.

Because offboarding surveys are triggered by a profile change rather than a calendar date, no send date is required when configuring this option. The Next send date column in the schedule list will show Not Applicable for these surveys.

This option is ideal for exit interviews or any feedback you want to collect from departing employees.


Send a Survey Immediately

To send a survey immediately, do not configure the When to send of a survey. Go to Surveys > Assign:

You will see the following screen. Select Teams, Position Titles, and/or Employees:

Select ASSIGN. This will assign and send the survey.


How Employees Can Access Surveys

When a survey is sent to an employee, they will receive an email notification. From there, there will be taken to the mobile app.

They can also access surveys in the mobile app > Profile > Surveys.

If a survey has been assigned to them (either immediately or from being scheduled), they will see the assigned survey.

If you've created a survey that all employees have access to take at anytime, employees can click the + TAKE A SURVEY and see the surveys available for them to take. Learn more about employee access here.


Anonymous Surveys

What Employees See

If a survey responses are set as anonymous (learn how to set here), employees will see confirmation of this when completing the survey.

What Managers See

In the Survey Response Report, responses will also display Respondents as 'Anonymous'.
