Staff: Leave and Unavailability

Employees can request leave or set their weekly and temporary availability in Workforce so managers know when they can and can't work.

If you have another commitment, or won't be able to work your regular shifts, let your managers know by submitting a leave or availability request.


Requesting Leave

Depending on your organisation's settings, you can request leave when you're unable to work.

To create a leave request via desktop:

  1. Go to Leave Requests (via Time & Attendance > Leave, or the equivalent Leave section).

  2. Select + New Leave Request.

  3. On the Leave Details step:

    • Confirm who the leave is for (defaults to you, or lets you pick a staff member if you have permission to request on their behalf).

    • Enter when the leave starts.

    • Select the Leave type.

    • Choose the Duration: Full day, Part Day, or Multiple days.

    • Select Next.

  4. On the Review & Submit step:

    • Review the staff member, date, and leave type shown at the top.

    • If prompted, assign a team for the leave.

    • Confirm the hours shown for the date(s) - these are prefilled from the entitlement (e.g. original entitlement and payable hours).

    • Enter a reason for leave.

    • Optionally attach supporting documentation (max 5MB - jpeg, png, gif, pdf, or text file).

    • Select Submit.

Once submitted, your manager will review and approve or reject the request.


Managing Your Availability

Availability lets you tell your managers ahead of time when you can and can't work.

There are two ways it can apply:

  • Ongoing availability - your regular recurring pattern, which stays in place until you change it.

  • A temporary change - an override for a specific date range, for things like school holidays, travel, or a short-term change to your schedule.

Both are submitted through the same form. To set or change your availability:

  1. Go to the Availability tab (next to Leave and Balances).

  2. Select + Set Your Availability if you haven't set any yet, or Change Availability to update it.

  3. Enter the Start date for the change. A minimum notice period may apply, and the form will show it (e.g. "4 days notice required").

  4. Answer Does this change have an end date?

    • Select No to update your ongoing availability.

    • Select Yes and enter an End date to make a temporary change for that date range only.

  5. Enter a Reason for the change.

  6. Set your availability for the range:

    • Use Set all days to apply Available all day, Specific times, or Unavailable to every day at once. If you choose Specific times, enter a start and finish time, then select Apply to All Days.

    • Or open an individual day to set it differently from the rest.

  7. Submit the request.


Viewing Past Requests

Check whether your request has been approved, or view previous leave and availability requests, under the Leave or Availability tab.

If a request is Upcoming, the requested dates have not passed yet. If a request is in the Past, the requested dates have already passed.

Requests that are Pending are awaiting approval or refusal from your manager.

Requests that are Approved have been accepted by your manager.

For leave, you'll be paid according to the hours shown on the request (unless you've applied for unpaid leave).

For availability, an approved temporary change will override your ongoing availability for the dates it covers.

Requests that are Rejected have been refused by your manager. They may choose to include a reason for refusal.
