Admin Permissions

What admins can access in Workforce.com, and how to give limited access instead.

What are the permissions and limitations of admin users in Workforce.com?

Admin access

The Admin permission level has full access to everything in Workforce.com, including sensitive employee information such as pay details and personal data. This makes sure admins can manage all areas of the platform without restrictions.

Can admin access be restricted?

No. The built-in Admin role can’t be customised, so anyone with the Admin permission level will always have full access.

Giving someone limited access

If you’d like someone to have broad access without seeing everything, assign them a different permission level, such as General Manager, or a custom role, instead of Admin.

Custom roles let you choose exactly what someone can see and do.

To set this up, go to Settings > Permissions

Learn more about custom permission roles in our Customise Roles & Permission Levels (Advanced Permissions) Guide.

FAQs

How do I change the main admin on our account?

  1. Open the current admin’s staff profile.

  2. Click [Unlink Workforce profile] below their email address.

  3. Change their permission level to Manager or Employee.

  4. Open the new admin’s staff profile and set their permission level to Admin.

  5. Click Save.

Make sure the new admin is set up before removing admin access from the current one, so your account always has an admin.

Someone has more access than they should. How do I fix it?

Check their permission level on their staff profile. If they need broad access but not everything, give them a different permission level (such as Manager or General Manager) or a custom role instead of Admin. The Admin role always has full access and can’t be restricted.
