Rota Agent Overview
Instead of searching through your report catalog manually, describe what you're looking for in your own words. The Reporting Agent finds the closest matching report and applies the filters that report supports.
Note: The Reporting Agent works with reports that already exist in the Reporting catalog. It can't create new reports or invent filters that a report doesn't support.
Open the Reporting Agent
Navigate to Reports > Reporting Agent:
2. When you open it, you'll see the question "How should I start?" and two options:
Find the report you want
Describe what you're looking for in your own words.
The Reporting Agent searches your report catalog, chooses the closest match, and opens it with relevant filters applied.
Refine a saved report
Select one of your saved custom reports from the dropdown. You can then tell the Reporting Agent how you'd like to adjust it.
For example, you might change the team, date range, or grouping without having to set up the report again.
If you don't have any saved custom reports yet, you'll be prompted to find a report first. Once you've saved a report, you can come back and refine it later.
Describe what you need
You don't need to know the exact report name or filter labels. Just describe what you want naturally.
You can include things like:
a team or employee
a date or date range
a location
how you'd like the information grouped
For example: Timesheet hours for the Old Street team last month, grouped by location.
The Reporting Agent will show what it's doing as it searches for a match and applies your filters.
When it's finished, it returns the report in the conversation.
Refine your result
You can keep talking to the Reporting Agent after it opens a report.
For example, you can ask it to:
change the date range
use a different team or employee
change a filter
use a different grouping
The Reporting Agent keeps the context of your conversation, so you don't need to repeat your original request.
If your follow-up requires a different report, it can switch to a better report and carry across the relevant filters where possible.
Ask reporting-related questions
The Reporting Agent is designed specifically to help you work with reports.
If you ask a how-to question rather than requesting a report, it may direct you to a relevant help article. If your question isn't related to reporting, it'll guide you back to what it can help with.
Understand your result
Each report opened by the Reporting Agent appears as a card in the conversation.
The card can include:
Element | What it means |
Report name | The report from your catalog that the Reporting Agent opened. |
Caveat | When needed, an explanation of where the result differs from your request. |
Filter pills | The filters and groupings that were actually applied. |
Open report | Opens the full report with the filters already applied and the report run. |
Save report | Saves the filtered report for you to use again. |
Check the filter pills to quickly confirm that the result is showing the people, dates, teams, locations, or other criteria you expected.
Save a report
When you've got the report you need, select Save report on the result card and give it a name.
The report is added to your saved reports with its current filters.
Save changes to an existing report
If you started by refining one of your saved reports, you'll have two options:
Update original
Updates the existing saved report with your new filters. You'll be asked to confirm before the report is overwritten because this action can't be undone.
Save as new
Creates a separate saved report with your new filters and leaves the original unchanged.
Add a report to a dashboard
After you save a report, Add to dashboard becomes available on the result card.
Select it and choose any dashboard you have permission to edit. You can also choose a dashboard template that you haven't set up yet.
The saved report is added as a widget and will be ready the next time you open that dashboard.
Return to a previous conversation
The Reporting Agent remembers your 30 most recent conversations.
Select the history icon in the panel header to view them. Each conversation is labelled using its first message and the report it opened.
Select a conversation to continue where you left off. The Reporting Agent retains the filters that had already been applied, so you don't need to start again.
Your Reporting Agent conversations are private to you. Other people in your team can't view or resume them.
