Previewing and Sending Payslips

A guide explaining how to preview, send, and troubleshoot draft and published payslips, including how employees access them and what information they contain.

What does this guide cover?


Overview

Payslips can be previewed and sent to employees at two stages of the payroll process:

  • Upcoming (Draft) — While a payroll run is still in draft, you can send employees a preview of their payslip. This allows them to see their earnings before payroll is finalised.

  • Published (Posted) — Once the payroll run is posted, you can send employees their official, finalised payslip.

Employees can view their payslips by email and through the mobile app.

Who can send them?

Any payroll officer or administrator with permission to edit payroll runs.

How to send preview emails

You must have an existing payroll run in draft. While it is in draft, you have two options:

  • Bulk sending: On the payroll run page, click Email Payslip Previews to send previews to all employees in the run at once.

  • Individual sending: Open a specific employee's payslip within the payroll run and click Email Payslip Preview to send only that employee's preview.

Note: Upcoming payslip previews can only be sent while the payroll run is in draft. Once the run is posted, the upcoming preview is no longer available — the payslip becomes a published, finalised payslip.

How employees view upcoming previews

Email: Employees receive an email with a link to view their payslip preview.

Mobile app: After the preview email is sent, the upcoming payslip also becomes available in the mobile app. Employees can find it on their Home page or under Profile > Payslips.

The preview displays a notice: DRAFT PAYSLIP - PREVIEW ONLY

Year-to-date totals on a draft payslip only reflect previously posted payroll runs — they do not include amounts from the current draft.

Resending previews

You can resend preview emails as many times as needed before the payroll run is posted. The mobile app always displays the most recent version of the payslip.


Published Payslips

How to send finalised payslips

After posting a payroll run, you can send the official payslips:

  • Bulk sending: On the posted payroll run page, click Email Payslips to send to all employees. Once at least one payslip has been sent, a Resend Payslips button also becomes available.

  • Individual sending: Open an employee's payslip and click Email Payslip to send or resend that specific payslip.

How employees view published payslips

Email: Employees receive an email with a link to their finalised payslip.

Mobile app: Published payslips appear under Profile > Payslips once either of the following conditions is met:

  • The pay date has arrived, or

  • A payroll officer has emailed the payslip

Desktop: Employees can view their payslips under the Payslips tab on their profile page.


Information Shown on a Payslip

Section

Details

Header

Employee name, National Insurance number, tax code, NI category, payroll ID, position, pay frequency, employment type, hourly rate or salary (where applicable), employer name and address, employee name and address, pay period dates, and pay date

Earnings

Each earning type (e.g. regular hours, overtime, leave taken) with hours and rate for hourly workers, amount, and year-to-date total. Statutory pay (SSP, SMP, SPP, etc.) is shown separately with current and year-to-date amounts

Tax

Income Tax (PAYE) — current amount and year-to-date total

Deductions

Employee National Insurance contributions, employee workplace pension contributions, student loan deductions, salary sacrifice, and any other deductions — each with current and year-to-date amounts

Employer Contributions

Employer workplace pension contribution and employer National Insurance contribution — with year-to-date totals

Reimbursements

Reason and amount (no year-to-date total)

Payrolled Benefits

Benefit name, value, and year-to-date total (shown where applicable)

Payment Details

Bank account (masked) and net pay amount


Troubleshooting

Emails are not being sent

Check that the employee has a valid personal email address saved in their profile. Payslip emails are sent to the employee's personal email address.

Employee can't see their upcoming payslip in the mobile app

A payroll officer must have sent the preview email while the payroll run was still in draft. If the payroll run has already been posted, the upcoming preview is no longer available. The employee should look under their published payslips instead, which requires a payroll officer to have emailed the finalised payslip or for the pay date to have arrived.

Employee can't see a published payslip in the mobile app

Published payslips appear once either the pay date has arrived or a payroll officer has emailed the payslip, whichever happens first. If neither condition has been met, the payslip will not yet be visible.
