Update Employee Payroll Information as an Admin

Learn how to put in the necessary details for your employees in order to process their payrolls

Step 1: Impersonate the Employee

  1. In the top-right corner of Workforce.com, click the profile icon (the person/circle icon).

  2. In the dropdown menu, click "See Workforce As...".

  3. A modal will appear with a search field. Type the employee's name* in the search field to find them.

  4. Select the employee and click Impersonate

*Tip: If the employee is not a manager, make sure the "Only show location managers" filter is unchecked so all employees appear in the results.

You are now viewing Workforce.com as that employee. A banner or indicator will confirm you are in impersonation mode.


Step 2: Open the Employee's Profile

  1. Navigate to the mobile app view by going to: https://my.workforce.com/mobile_app

  2. Click the profile icon in the top-right corner of the screen to open the employee's Settings page.


Step 3: Update Employee Information

On the Settings page, you will see navigation tabs for the employee's profile, documents, and payroll information. The exact tabs that appear depend on your organization's configuration.

To edit a section, tap the relevant tab, then tap the edit icon (pencil) in the top-right corner of the card. Fill in or update the fields and save your changes.

For example, to update an employee's phone number or address, tap Personal Details, tap the edit icon, make your changes, and save.

Note: Not all fields may be editable depending on your organization's employee self-service settings. If a field appears read-only, contact your payroll administrator.

Key Payroll Sections

The most important tabs for payroll processing are:

Bank Details — This is where the employee's direct deposit information is stored. Tap this tab to add or update the employee's bank account number, routing number, and account type for ACH direct deposit.

Tax Forms — This is where the employee's federal W-4 and state withholding certificates are managed. Tap this tab to complete or update tax withholding elections. Employees must have valid W-4s on file before payroll can be processed.

I-9 Form — Employment eligibility verification. This must be completed within three business days of the employee's start date. The I-9 will only show up in this section if it has been requested and not yet completed. See the Form I-9 help guide for more information.


Step 4: Stop Impersonating

When you are finished updating the employee's information:

  1. Click the profile icon in the top-right corner.

  2. Click Stop Impersonating to return to your own account.

Important: Always stop impersonating when you are done. Any actions you take while impersonating are performed as that employee.


Important Notes

Employee notifications: When payroll-related details are updated (such as bank details or tax information), the employee may receive a notification about the change.

Audit trail: Impersonation sessions are logged. Your organization can see who impersonated whom and when.

Impersonation stacking: You can switch directly from one impersonated employee to another without stopping impersonation first — use the "See As" option again while already impersonating.

Self-service settings: The sections visible during impersonation reflect what the employee would see based on your organization's self-service configuration.
