Workforce.com & ADP Payroll integration including Importing Staff and Exporting Timesheets

Workforce.com and ADP is run through a flat-file integration, where a file will be exported out of Workforce.com with your Timesheets which you can email through to your Relationship Manager.

This article will take you through any requirements for ADP Payline and Workforce.com integration, how to bulk import your staff into Workforce.com the first time and then options for new staff going forward. It will also take you through exporting your Timesheets.

Before progressing, ensure you:

  • Are on ADP Payline (or check with your Relationship Manager if your version is supported)

  • Are a registered user on your account with ADP, you may also wish to add anyone in your business that deals with Payroll.

  • Have your ADP Client ID

  • Have a list of your staff ADP Payroll IDs and a list of your Active Payroll Codes. You can get this from your online ADP account or you can ask your Relationship Manager to email you this list.

Integration

Add ADP to your Workforce.com account by going to Settings > Integrations > Payroll Integrations:

In the top right corner, click on + New Payroll Integration:

Click on Show more at the bottom and then select ADP:

Under the heading ADP Settings, enter your Client ID and click Save at the bottom:

Importing Staff

In Workforce.com

There isn't an automatic import or report that can be imported from ADP to Workforce.com but there are a few ways you can add your staff to Workforce.com; by manually adding them, importing by Excel or you can ask your staff to fill in their details by sending them an invitation to Workforce.com's Employee Onboarding.

Go to Workforce > Staff:

On the right, click on + Add Staff:

In the pop-up window select the option that you want to use for adding your staff:

  • Add Manually: just add in their information yourself.

  • Employee Onboarding: click on this article for further information.

  • Importing from Excel (CSV): download the Template and add your staff details and then import into Workforce.com. Click on this article for further information.

When you're importing by Excel, add into the sheet in the Employee ID column, the Payroll ID from ADP.

If you're adding manually or from Onboarding, you'll need to add this to each employee's profile in Workforce.com. This is how Workforce.com matches the employee to ADP when you export your Timesheets later, so it's important to have it setup from the start.

Go to Workforce > Staff > click on an employee's name to go into their profile and then click on the Payroll tab. Add the ADP Payroll ID to the Employee ID field and click Update to save:

  • Earnings rules:

Use your ADP Active Payroll Codes to create or match Earnings Rules in Workforce.com. To create Earnings rules in Workforce.com, check out the article on creating Custom Earning Rules If you use Allowances, you can check out this article on how to build them. The ADP Payroll Codes will be entered in the Export Name for each rule in Workforce.com.

It's worth noting that ADP has pay codes setup differently depending on what it takes in:

A = $ (allowance)

P = units (pay line)

Therefore if you are exporting a unit based allowance e.g. 1 unit = $0.41, then it will have to be set up as a pay line code (P), thus exported as a unit.

If the allowance is set up as 1 unit = $1, it can be set up as an A code. We will still export it as units, but ADP will take it as a $ figure, which will work.

Leave: Leave can be exported from Workforce.com to ADP. In Workforce.com, match your Payroll Codes again with the Export name under Compliance > Leave Types.

Jobs: currently Workforce.com cannot export Job Codes/Tracking with the Timesheet data to ADP. Chat with your Relationship Manager about how this information can be configured directly in ADP.

Exporting from Workforce.com

Once you've approved all your Timesheets and you're ready to export, go to Timesheets > Weekly/Fortnightly (check you're on the correct pay period) > click the Preview & Export button:

You'll then go through to the Timesheet Export Preview page. If there are any errors in your Timesheets, this will be flagged so you can fix before exporting.

When you are ready to export click Export to Payroll Software again within the Preview page:

When you click the button, a file will be downloaded to your computer. Email this file to ADP for processing.
