Handling Missed Shifts on Timesheets
When an employee is rostered to work but doesn't attend, you can either leave the timesheet unchanged or, if enabled, mark the shift as a No Show to record the absence and reason.
If a Shift Is Missed
If a rostered shift has no recorded times:
The timesheet displays empty start and finish time fields in red.
A Missing Shift warning appears during payroll export. This is a warning only and won't prevent the export.
Other shifts on the timesheet can still be approved and exported as normal. (If the entire timesheet is empty, it will remain pending.)
The Attendance report records the shift as not worked, reducing the employee's attendance percentage.
Marking a Shift as a No Show
If No Shows are enabled (Settings > Timesheet Settings > No Shows), you can record that an employee didn't attend their shift.
You can also manage the list of No Show reasons. Default reasons include:
Sick/Injured
Family/Dependent Care
Emergency/Personal
Transport/Travel
Other/Unspecified
You can add your own reasons (up to 100 characters) or archive any you no longer use.
To mark a shift as a No Show
Open the employee's timesheet.
Click the No Show icon on the shift.
Select a reason and confirm.
When a shift is marked as a No Show:
All shift and clock times are removed.
Any breaks are deleted.
The shift is costed at $0 and won't be included in payroll exports.
The reason is recorded and appears in the Shift Report, the Attendance Report also shows a No Show Shifts count.
To remove a No Show, click the No Show icon again and confirm. The original shift times won't be restored.
Note: You can't mark a shift as a No Show if it has already been approved or exported, or if the employee has clocked in or out.
Removing a Rostered Shift
Deleting a shift from the roster doesn't remove it from the timesheet, as rosters and timesheets are separate records.
To remove the shift completely, delete it from the timesheet.
Removing the rostered shift clears the Missing Shift warning, but any existing timesheet record remains until it's deleted.
Adding a Timesheet comment
You can add comments to shifts on the timesheet by clicking the Notes icon on the shift. Notes are visible to managers and are useful for recording additional context, such as why a shift was edited or missed.
