Create a Shift Question
To create a shift question:
Go to Settings > All Settings > Shift Questions.
Click Set up shift questions.
Configure the following:
Device: Choose where the question should appear — Time Clock, Mobile App, or Both.
When to ask: Select the trigger, e.g. at Clock Out.
Condition (only if): Add rules, e.g. if clocking out earlier than scheduled.
With any tag: Apply to specific staff groups, e.g. All staff or only those tagged Hourly.
Lenience (minutes): Set a grace period before the question triggers, e.g. 10 minutes.
Ask (Question phrase): Enter the text to display, e.g. “Why are you leaving early?”
Then (Action): Decide what happens after answering, e.g. add a Timesheet comment.
Is Required?: Tick if staff must answer before they can clock in/out.
Add Quick Responses (optional): Choose whether to provide predefined responses, or leave blank to allow free text entry.
4. Click Create Question to save question
⚠️ Note: New shift questions can take up to 10 minutes to sync across devices.
Answer Options
Quick Responses: Predefined answers for staff to select, e.g. “Supervisor approved”.
Free Text: Allow employees to type a custom response. To enable this, leave “Quick Responses” blank and select Add a timesheet comment.
Responses will appear in the Timesheet comments section for each shift.
Advanced Uses
Shift Questions can also:
Block clock-ins/outs if conditions aren’t met (e.g. staff clocking in too early, too late, or without a scheduled shift)
Find Responses
In the Timesheets view, shifts with responses will display a red notification. Click it to see details.
In Exports: Go to Timesheets > Preview and Export > Download Excel Summary. Responses are stored under the “By Comment” tab in the Excel file.
Frequently Asked Questions
Q: What counts as early or late?
A: By default, 10 minutes before or after a scheduled time. This is configurable using the Lenience setting.
Q: How are multiple shift questions ordered?
A: They are asked in the order they were created. The earliest-created question is shown first.
Q: Can questions prevent a staff member from clocking in/out?
A: Yes. If the question is marked as required, staff cannot proceed without responding.
