Troubleshooting Reports

Fix common problems with reports.


The report is blank

Check:

  • Date range: most reports allow up to one year.

  • Filters: Staff status defaults to Active, so set it to All to include leavers. Clear any team, tag or position filters.

  • Permissions: you only see staff you manage.

  • Leave reports: make sure the right leave types are selected.


An employee is missing

They may be:

  • inactive (check Staff status);

  • in a team you don't manage;

  • missing a leave balance (for leave reports);

  • someone you don't have permission to see.


Two reports show different totals

Common reasons:

  • Approval status: cost reports include pending shifts, but payroll exports only include approved shifts.

  • On-costs: check whether Include oncosts is turned on in one report and off in the other.

  • Leave: some columns include leave and others don't. Look for (inc. leave) and (exc. leave) in the column names.

  • Salaried staff: salary is spread across days according to Settings → General → Salary allocation.


"Â" symbols in a CSV

This can happen when Excel opens a file containing symbols such as £ or €. To fix it:

  1. Open Excel and go to Data > From Text/CSV.

  2. Choose the file and set File origin to 65001: Unicode (UTF-8).

  3. Click Load.


A scheduled report didn't arrive

Check that:

  • the email frequency isn't set to Don't Email This Report;

  • the report's owner is still active and can access Reports;

  • each recipient can access Reports and has a valid email address;

  • the position and team selection matches at least one person (check the Both/Either setting);

  • the report hasn't been deleted.

Remember:

  • weekly and fortnightly reports send on your week-start day;

  • monthly reports send on the 1st;

  • only the hour of the email time is used.


The report won't load

Try a shorter date range, fewer columns, or fewer employees.


The date range has changed

Date ranges longer than one year are shortened to one year from the start date. Run the report in smaller ranges.
