What's covered in this guide?
Sickness by employee and date
Use the Shift Report:
Go to Reports → Time & Attendance → Shift Report.
Set the date range.
In Leave types, select your sick leave type or types.
In the column picker, add Leave type (under Shift details) and Shift Length.
Filter by team, location or employee if needed.
Click Generate.
Each row is one day of leave, showing the employee, date, leave type and hours.
💡 Tip: Save it as a custom report and schedule it to email weekly.
Total sickness hours
Use the Shift Report:
Go to Reports → Time & Attendance → Shift Report.
Set the date range.
In Leave types, select your sick leave type or types.
In the column picker, add Leave type (under Shift details) and Shift Length.
Click Generate.
The total at the bottom of the Shift Length column is the total sick hours for everyone in the report.
📝 Important to note: In the Timesheet Report, the Leave Hours column includes all leave types, even when you filter by a sick leave type. Use the Shift Report for sick hours only.
Absence counts and the Bradford Factor
The Attendance Report (Reports → Time & Attendance → Attendance Report) has # Leave Shifts and # Leave Hours columns. You can also add a Bradford Factor column.
How the Bradford Factor is calculated: S² × D
S is the number of separate absences. Consecutive days count as one absence.
D is the total number of days absent.
This means frequent short absences score higher than one long absence. For example, 5 separate one-day absences score 5² × 5 = 125, while one 5-day absence scores 1² × 5 = 5.
📝 Important to note: The Attendance Report counts all leave types, including annual leave, and can't be filtered by leave type. To report on sickness only, use the Shift Report or Costs by Employee Report methods above.
No-shows
Go to Settings → Timesheets → No Shows and turn on Enable No Shows.
Managers can then mark shifts as no-shows and add a reason. Click Edit Reasons to change the list of reasons.
Once this is on:
the Attendance Report has a # No Show Shifts column;
the Shift Report has No show and No show reason columns.
SSP and SMP (UK)
There's no separate SSP or SMP report. If you use Workforce.com Payroll:
Activity Details (Reports → Payroll) adds a column for each statutory leave type paid, such as Sick (Statutory).
The P32 shows SMP, SPP and SAP recovered.
