No Shows
There may be times when an employee is rostered to work but doesn't attend their scheduled shift. The No Shows feature allows you to record these absences and the reason for them directly on the employee's timesheet, helping you keep accurate attendance records.
When this feature is enabled, managers and admins can mark a shift as a No Show, which updates the shift accordingly.
Enable the No Shows Feature
To enable No Shows:
Go to Settings → Timesheet Settings → No Shows.
Tick the Enable No Shows checkbox.
When enabled, the following default reasons are automatically added:
Sick/Injured
Family/Dependent Care
Emergency/Personal
Transport/Travel
Other/Unspecified
Select Manage Reasons to customise this list to suit your organisation. These are the reasons that will be available when marking a shift as a no-show.
About No Show Reasons
You can create as many reasons as you need.
Each reason can contain up to 100 characters.
Reasons are displayed in alphabetical order.
Mark a Shift as a No Show
Once the feature is enabled, a No Show icon will appear on the right-hand side of each shift card, alongside Add Leave and Shift Note.
Select the icon, then choose the appropriate reason from the list to mark the shift as a no-show.
Who can mark a shift as a No Show?
Anyone with permission to edit shifts (typically managers and admins) can mark a shift as a no-show. Employees cannot mark their own shifts as no-shows.
When can't a shift be marked as a No Show?
A shift cannot be marked as a no-show if it:
Has a clocked start or finish time.
Has already been approved.
Has been exported.
How No Shows Affect Hours and Pay
When a shift is marked as a no-show:
The shift's start and finish times are removed.
The shift is treated as 0 hours worked.
The employee will not be paid for that shift.
Remove a No Show
If a shift has been marked as a no-show by mistake, you can remove it by selecting the same No Show icon on the shift card.
Important: Removing a no-show does not restore the original start and finish times. These are permanently cleared when the shift is marked as a no-show, so you'll need to enter the shift times again manually after removing the no-show.
Reporting
You can report on no-show data using the following reports:
Shift Report
The Shift Report includes:
No Show – Indicates whether the shift was marked as a no-show (Yes/No).
No Show Reason – Displays the recorded reason for the no-show.
This allows you to review individual no-show shifts and analyse the reasons recorded.
Attendance Report
The Attendance Report includes a No Show Shifts column, showing the total number of no-show shifts for each employee during the selected reporting period.
Note: No Show reporting columns are only available when the No Shows feature is enabled.
