Learn how to connect Toast to Workforce, import sales data, and configure data streams for accurate rostering and reporting


How Toast integrates with Workforce

Toast is a restaurant Point of Sale (POS) system that can be connected to Workforce to import sales data and support costed rostering.

Workforce automatically imports order data from Toast every 15 minutes.

Imported data is organised by Toast restaurant location, with each location appearing as a separate data stream in Workforce.

Each data stream includes:

  • Sales: total revenue from orders in the period

  • Transactions: number of checks processed

  • Sales by category: revenue broken down by Toast sales category (e.g. Food, Beverages)

Important to note: Data is grouped by Toast restaurant location, so each location must be linked correctly in Workforce for accurate reporting.


Connect Toast to Workforce

Toast uses a pairing code to link your restaurants. Follow these steps:

Step 1: Add Workforce in Toast Web

  1. Log in to Toast Web

  2. Go to Partner Integrations and find Workforce in the marketplace

  3. Add the integration, you will be prompted to enter a Group ID (do not close this yet)

Step 2: Get your pairing code from Workforce

  1. In a new tab, go to Settings > Integrations > POS Integrations in Workforce

  2. Click + New POS Integration and select Toast

  3. Copy your unique pairing code (format: WF-XXXXXX)

  4. Return to Toast Web and enter this code as the Group ID

  5. All restaurant locations in your organisation should use the same pairing code

Step 3: Link your restaurants in Workforce

  1. Return to Settings > Integrations > POS Integrations in Workforce

  2. Click Refresh Restaurants,your Toast locations will appear

  3. Select the restaurants you want to connect and click Save

To confirm the connection, go to Settings > Integrations > Manage Data Streams and check that a data stream appears for each of your Toast locations.

These data streams will need to be linked to your teams and locations in Workforce so that sales show against the correct rosters and reports. Learn more about managing data streams here.


Integration Settings

To configure your Toast integration:

  1. Go to Settings > Integrations > POS Integrations

  2. Click Edit on your Toast integration

You can configure the following:

Include sales tax when importing revenue
Includes tax in the sales figures imported into Workforce.

Include service charges when importing revenue
Includes service charge amounts in the sales figures imported into Workforce.

Important to note: Both settings are disabled by default. Enable them if you want tax or service charges reflected in your labour cost calculations.


Link data streams to your teams

To ensure sales data appears correctly in rosters and reports:

  1. Go to Settings > Integrations > Manage Data Streams

  2. Select a data stream

  3. Link it to the appropriate team and location in Workforce

Once linked, sales data will appear correctly when filtering reports and viewing rosters.

Tip: Make sure each Toast restaurant location is mapped to the correct Workforce team to avoid reporting discrepancies.


FAQs and Troubleshoting

Why can't I see my Toast restaurants in Workforce?

Make sure you've entered your Workforce pairing code as the Group ID in Toast Web for every location. Once that's done, return to Workforce and click Refresh Restaurants.

Why can't I see my Toast data in Workforce?

Check that your restaurants are selected and saved in the POS integration settings, and that each data stream has been linked to a team. Data syncs every 15 minutes, so allow a short wait after first connecting.

My sales data looks incorrect, what should I check?

Review your Include sales tax and Include service charges settings to confirm they match your reporting expectations. Also verify that each Toast restaurant is linked to the correct Workforce team in Manage Data Streams.
