In order to ensure that Workforce.com is paying your tax payments to the right agencies accurately and on time, it's necessary to enter in your company's information in the tax profiles section! You can find this section by going to Payroll > Payroll Settings > Tax Profiles
Federal Tax Profile
When you first open the section, the company you are entering the information for will appear as well as the relevant tax jurisdictions. If you have multiple EINs, when you select the 'Tax Profiles' option both EINs will appear and you will have to enter in the relevant information for both.
The first section here will prompt you to enter two fields:
Federal EIN: The 9-digit unique identifier given to you by the IRS. Do not include the dash when entering, just type in the 9 digits. If you don't have an EIN yet, please enter "APPLIED FOR"
Deposit Schedule: The deposit schedule is chosen at the beginning of each year. You can find more out by visiting the official IRS website.
Once that information is entered, a page will appear that has you enter in additional information about your business. The contact information you provide will be used as the point of contact with the IRS.
NOTE: This information will appear on all payslips. Make sure that you are entering in the phone number and address of the company and not any personal information you would like to remain private
This information will be used to generate an 8655 form which, once signed by the person listed as the contact, grants Workforce.com access to pay and file your federal taxes for your business. If you'd like to learn more about the 8655 form, you can visit the official IRS website.
In this section you can download the unsigned form, print it out, sign the form and re-upload it in section 2. You can also have your implementation consultant send you a docusign where you provide an electronic signature and then they can upload the document for you.
If you made any mistakes on the initial entry, you can enter this section and select 'Archive Form' which will give you a chance to repopulate the form with any corrections you wish to make.
State Tax Profile
After completing the federal tax profile, you can go back to the Tax Profiles section and then select your state tax profile. The state tax profile will only appear if you enter in your state in the Tax jurisdictions section.
Each state requires different pieces of information to ensure everything is set up correctly. This information can be found on your state tax website. If you don't have these numbers but you're in the process of getting them, you can enter 'APPLIED FOR' in the account number sections.

Note: Just filling out this information does NOT grant Workforce.com access to pay and file your state taxes. There will be additional steps sent to you by your implementation consultant that will involve granting access directly through your state's tax websites.
Once both the federal and state tax profiles are complete and you've granted Workforce.com access to your accounts and filings, you are finished and can move on to the next onboarding step!
